How to Redeem a Gift Certificate by Staff in RBE

Prerequisite

Available in RBE/OBE 1.6.0 released in March 2024

Gift Certificates must be configured before they can be purchased and redeemed.

When 1 or more tours are enabled to be sold as gifts, then the Quote/Ticket Ref field will change to Quote/Ticket/Gift Ref

Payment options are limited to full payment (no partial or deposit) via Gateway Payment types (Credit card, and Paypal) and Reservations (Cash, EFTPOS, Direct Deposit (approved) )

Instructions - How to Purchase by Staff in RBE

Step-by-step guide for Staff to purchase a gift certificate via RBE Admin.

  1. Start a new booking for a customer
    In RBE, click on New Booking from the main menu

  1. On the Booking Details card, enter the gift code into the Gift Reference field.
    the gift code is a 12 character code beginning with GC. Include the GC when entering the code.
    Exit the field (press tab or click out with mouse)

  2. The form will check to see if the code is valid (or redeemed, or cancelled, or expired or does not exist)

  3. If successful, the purchased Tour Code, Basis, Subbasis, Pax Types and Pax Numbers, todays Date and the default Tour time will be pre-filled into the booking form

  4. The Basis and Subbasis are greyed out (disabled) and cannot be changed

  1. The Other Sell field will have the value of the tour for the redemption date (even if this is not the same as the purchase amount). The message will advise that the discount value is from a gift certificate.

  1. Enter the Primary Passenger details
    These do not have to match the original recipient details

  1. The Summary will display the Gift Certificate redemption code, the number of passengers it is valid for, and the adjustment value to balance this redemption.
    If the redeemed pax numbers match the purchase pax numbers, the total will be zero

  1. The Staff can change to a date with less availability, but they will forfeit the value of the other passengers on the gift certificate.
    The Staff can add additional passengers or add a 2nd ticket.
    The Booking Price Summary hides the Promocode field

  2. The call to action is called Redeem and Proceed instead of Save and Proceed

  3. A confirmation of redemption is displayed (last chance to back out)

  4. The booking is updated and the page reloads.
    the gift certificate status will now change from Issued to Redeemed
    The redemption code is now displayed (read-only) in the Booking Details card > Gift ref field

  5. On Redemption, the Booking changes from Tentative to Confirmed and Paid, which triggers the standard Passenger Confirmation email and PDF attachment.
