Using Smart Rules to Apply Promo Codes Automatically

Overview

Smart Rules streamline the application of promotional codes by eliminating the need for manual input during the booking process. Once set up, the system automatically applies the rule based on the defined conditions, making promotions more effective and user-friendly.

You can use Smart Rules to:

  • Apply a percentage or fixed-dollar discount

  • Add additional charges under certain conditions

How to Set Up a Smart Rule

1. Enable the Smart Rule Option

When creating a promo code, make sure the “Smart Rule” setting is enabled. This ensures the promo code will be automatically applied when the criteria are met.

2. Enable "Show as a Promotion" (Optional)

If you want the Smart Rule to be visible to guests in the online booking form, enable “Show as a Promotion.”

  • This will display:

    • Promo Code Name (e.g., Smart Rule)

    • Description (e.g., 3rd adult will be free)

  • Promo Code Name (e.g., Smart Rule)

  • Description (e.g., 3rd adult will be free)

3. Set Criteria in the Rules Tab

  • Define all necessary criteria for the Smart Rule (e.g.,Tour Code, number of guests, date ranges).

  • Do not include “Promo Code” as one of the criteria.
    Including it will require manual entry during booking, defeating the purpose of automatic application.

 4. Choose an Action

In the Action section, choose how the rule will adjust the booking price.

Option 1: Adjust Price by Percentage

  • Reduces the price by a fixed percentage.

  • Enter a numeric value only (e.g., 15 for 15% discount).

  • Do not include symbols like % or $.

✅ Correct: 15
❌ Incorrect: 15%

Option 2: Adjust Price by Dollar Amount

  • You can increase or decrease the price:

    • Use negative numbers to apply a discount (e.g., -15)

    • Use positive numbers to add an extra charge (e.g., 15)

✅ Correct: -15 or 15
❌ Incorrect: $15 or -15$

Reminder: Do not use the $ or % symbols in value fields.

 5. Save the Smart Rule

After setting all required values and actions, click Save to finalize your Smart Rule.

Smart Rule Visibility in the Online Booking Engine (OBE)

When a Smart Rule is triggered in a booking:

  • A success banner will appear in the top-right corner of the screen.

  • In the Booking Price section, click the symbol next to "Adjustments" to see more details.

Displayed information includes:

  • Smart Rule Name

  • Description (e.g., 3rd adult will be free)

  • Web Details (e.g., Smart Rule Test)

How to Verify Smart Rules in Respax Admin (RBE)

  1. Log into the RBE (Respax Admin Web App).

  2. Go to the Bookings section.

  3. Begin creating a new booking and enter guest details.

  4. If the criteria are met, the Smart Rule will be applied automatically.

    You’ll see:

    • Smart Rule Name

    • Discount Applied

    • Total Adjustment

This information will also appear in the floating Fees and Charges panel on the right.
