Overview

The Guest List allows enables staff to view and manage information in the Respax Admin portal for guests who have previously registered as a ‘guest’ via through the Online Booking Engine (OBE). Some of the information includes personal info, photos/documents that has been uploaded by the guest.

Instructions

How a Guest Signs up

  1. A Guest from the public is the ONLY person that can sign up and they can do this from the ‘Cart' page or 'Choose a tour’ page (by clicking on the Login Button) from the Online Booking Engine (OBE). Staff cannot signup a guest, staff can only check the information and manage what is currently available in the guest list.

  1. The Guest then has two alternative methods for signing up.

1.)   They can select the ‘Sign Up Now’ link or

2.)   Sign in with their social account (Google, Microsoft or Facebook).

Managing Guest information in RBE

  1. When the Guest has signed up, staff will be able to see any of the information from the guest in the Respax Admin portal. From the Main Menu, Click on Guests>Guest List

  1. Guest Details can be managed here, if a guest has forgotten what their email/username is, you can check here. (The Guests Email address that they signed up with is also their username so they are the same thing).

Guests can manage certain personal details directly on the OBE.

In addition, staff members can manage more detailed guest information, including bookings, file uploads, and membership details, through the ResPax Booking Engine (RBE).

Navigating Guest List

  • From the Main Menu, click on Guests > Guest List.

Info

The Guest email is also their username, this is the reason the Username is blank.

Staff cannot reset the Guest password, only the guest can do this from the Online Booking Engine (OBE).

  1. Click on the Uploads tab to view files uploaded by guests and also allows them to upload files on behalf of the guests

  1. Uploads images (jpg, png, webp) and files (pdf, odt) are acceptable files to be added.

  • When the file is included, another screen pops up to specify the Document Type (mandatory) and Label (optional).

    1. The Advanced tab displays additional client information, organized into multiple sections:

    • Contact Details (expanded by default): This section includes extra details beyond what’s found in the Guest Details tab, such as contact numbers, social media links, and emergency contacts. Some fields in this section are editable by guests via the OBE.

    • Address Details: Displays guest address information, with fields dynamically connected to Google Maps for accuracy. Guests can also edit these fields in the OBE.
