Overview

The Guest List enables staff to view and manage information in the Respax Admin portal for guests who have registered through the Online Booking Engine (OBE). Guests can manage certain personal details directly on the OBE.

In addition, staff members can manage more detailed guest information, including bookings, file uploads, and membership details, through the ResPax Booking Engine (RBE).

Instructions (Key Points)

  • How a Guest Signs Up - This section covers the OBE process for guests to sign up for ResPax system, including the information they are required to provide during registration.

  • Returning Guest Logging in - For guests who have already signed up, this section explains how they can log back into the system.

  • Guest Options available in OBE - An overview of all features and options available to guests once they are logged into the ResPax system, including booking management and profile updates.

Navigating Guest List

  1. From the Main Menu, click on Guests > Guest List.

  1. The list of guests can be filtered by Organisations (the organisation linked with the booking created when the passenger is included), as well as searched by Name and E-mail.

  1. Four tabs will be available to manage the guests details:

Guest Details

  • Guest basic details and credentials

The Guest email is also their username, this is the reason the Username is blank.

Staff cannot reset the Guest password, only the guest can do this from the Online Booking Engine (OBE).

Uploads

  • Upload images (jpg, png, webp) and files (pdf, odt) are acceptable files to be added.

  • When the image or file is uploaded another screen pops up to specify the Document Type (mandatory) and Label (optional).

  • If the guest has multiple documents, you can filter them by File Description or the type of document uploaded.

  • To edit the file, simply click theimage-20241018-014046.png pencil icon. You can then update the file label, type, or disable it as needed.

Advanced

  • Displays additional client information, organized into multiple sections:

  • Contact Details (expanded by default): This section includes extra details beyond what’s found in the Guest Details tab, such as contact numbers, social media links, and emergency contacts. Some fields in this section are editable by guests via the OBE.

  • Address Details: Displays guest address information, with fields dynamically connected to Google Maps for accuracy. Guests can also edit these fields in the OBE.

  • Personal Information: Contains fields for specific details required for tours, such as allergies and date of birth. These fields are customizable (refer to Lookups for more details) and editable by guests in the OBE.

  • Comments: Includes a single field where comments related to the guest can be added. This field can be expanded for easier input.

  • Membership: Membership details can be entered here. Some fields are read-only for guests in the OBE, while others are customizable (see Lookups for more details). The "Subscribed" field corresponds to the subscription checkbox in the booking form for both the OBE and RBE systems.
