Instructions

Step-by-step guide to selecting multiple recipients from the Dashboard or Guest List then sending bulk SMS or Email.

Guest List Bulk Action

(Quick Ref : Guest / Guest List / Action / Send Comms)

  1. From the main menu, click Guests and select Guest List

  2. From the Guest List, select 1 or many Guests by ticking the checkbox beside each Guest.
    There is no Select All check box available for the Guest List

  1. Once at least one record has been selected with the checkbox(es),
    then the Action button becomes enabled.

  2. From the dropdown list, select either SMS or Email



  1. The selected guests will be displayed on the right side, and their mobile numbers or email addresses will be added to the TO (for SMS) or BCC (for email) field by default.

 

  1. The content fields available when sending bulk messages from the Guest list are limited to passenger content fields only (white buttons). There are no blue (booking content fields) buttons available on this form.

  2. The process from here is the same as sending from the Dashboard. Please continue to step 7 for either SMS or Email below

Dashboard Bulk Action

  1. From the main menu, click Dashboard

  1. Find the Tour and Time and Date for your preferred departure
    New Search bar and Filter options due in Q4 2023

  2. Choose the Booked Passengers (with the padlock icon)

  1. From the filtered Bookings List, select 1 or many Bookings by ticking the checkbox beside each booking.
    The checkbox located in the title row is the Select All check box

 

  1. Once at least one record has been selected with the checkbox(es), then the Action button becomes enabled.

  2. From the dropdown list, select either SMS or Email

 

 

 

 

For SMS

  1. The recipients from the selected bookings will be displayed on the right side, and their mobile numbers will be added to the TO field by default

  2. Choose a template to auto-fill the subject and SMS body, or

  3. Create a freeform SMS with custom subject and SMS body
    The Subject is not used in the SMS but is used on the Comms Log
    As the contacts are all identified from bookings, all of the content fields are available for the SMS body.

  1. To use the Content fields, place your cursor where you want the field to be inserted in the SMS body and simply click on any content button. Remember to add spaces, commas, hashtags and periods wherever you need them to be to ensure the SMS is correctly formatted

(hint: add a space before each inserted field)

* Passenger details are represented in white.

* Booking details are represented in blue.

To review the sent SMS, see the Comms Log

For EMAIL

  1. The contacts from the selected bookings will be displayed on the right side, and their email addresses will be added to the BCC field by default

  1. Choose a From Address to send the email from

  2. Choose a template to auto-fill the subject and email body, or

  3. Create a freeform email with custom subject and email body
    As the contacts are all identified from bookings, all of the content fields are available for the email body.

  1. To use the Content fields, place your cursor where you want the field to be inserted in the email body and simply click on any content button. Remember to add spaces, commas, hashtags and periods wherever you need them to be to ensure the email is correctly formatted

    (hint: add a space before each inserted field)

    * Passenger details are represented in white.

    * Booking details are represented in blue.

  1. To add an Attachment, click on the large box labelled
    Choose or drop a file to upload (optional).
    If there were attachments already in the template, these will be added to the email by default

  2. Add a label (optional)
    Add a type
    Select Save
    Images will be previewed, and all other documents will show their file type

 

 

  1. Preview the Email (optional)

  2. Send the email

 

  1. To Review or Resend the message, there are detailed instructions provided in the Comms Log documentation and summarised below

  2. From the log, find the message using date range, email address, mobile number and/or message type

  3. Select Preview to review the message or

  4. Select Resend to resend the message
